Field staff and volunteers may sometimes find themselves without access to internet or when conducting in-person visits. To accommodate these scenarios, we provide various options to record visits on paper and easily input the data later into the CSFP module in PantrySoft. This guide outlines the steps for effectively using these methods.

Options for Recording Visits in the Field

1. Using the CSFP Visit Dashboard

The CSFP Visit Dashboard allows you to prepare for in-person visits even when internet access is unavailable.

  • Filtering Participants:

    • Access the CSFP Visit Dashboard.

    • Use the filters at the top to narrow down to a specific location.

  • Exporting Data:

    • Export the filtered list as a CSV or a PDF. This file will contain participant details necessary for visit recording.

2. Generating a Visit Roster Report

We’ve created a specific report tailored for field use, which can be accessed as follows:

  • Accessing the Report:

    • Navigate to Reporting and then select Dynamic Reports.

    • Use the "Visit Roster" report and filter it by one or multiple locations.

  • Report Contents:

    • The report includes:

      • Participant names

      • Addresses

      • Phone numbers

      • Dates of birth

      • Certification statuses

      • Sites

      • Proxies

  • Exporting or Printing the Report:

    • You can export this report as either a CSV or a PDF (in landscape or portrait orientation).

    • Alternatively, you can print the report directly from the page.

3. Conducting Visits in the Field

Once you have the printed visit roster:

  • Distribute the printed list to your field staff.

  • As they distribute boxes to participants, they should check off names on the paper visit roster.

4. Recording Visits in Pantry Soft

After the in-person visits:

  • Once back in the office with internet access, field staff can log into the CSFP Visit Dashboard.

  • Apply the same filters used to create the visit roster.

  • Use the checkboxes on the left-hand side to select the individuals whose visits were checked off on the paper roster.
