Group Management (New as of July 23rd, 2025)

This article will explain how we have changed the way item groups (cases) are managed.

Previously:
When you received an Item Group, it was automatically broken down into its individual items. Example: Receiving 2 cases of "Case of Black Beans 24/15 oz." would add 48 individual cans of black beans to your inventory.

Now (after July 23, 2025):
Item Groups are received into inventory as Groups, not as individual items. This means the contents of the group are not automatically broken down. You can still distribute the Groups through visit records.

Note: Item Group distribution is not available through the client portal (online shopping cart).

If you need to access or distribute the individual items within a Group, you’ll need to use a new feature called the Group Breaker.

To use the Group Breaker:
Go to Inventory → Group Management

Under Group Management, you will have the option of choosing Group Builder or Group Breaker:

The Group Builder will allow you to build groups from your available inventory. You can choose to build an Existing Group, or you can build a New Group:

In summary, there is a setting that we manage at PantrySoft that determines how a PantySoft instance will handle how Item Groups are distributed.

The default setting is that if you are distributing groups, when you add a group to a visit or distribution record, it will pull the individual contents. For example, if you are distributing a group that is a case of black beans with 24 cans, when you add the group, the inventory will pull from your Available Inventory Items which is this example would be 24 cans of black beand and not your Available Inventory Groups. If that settings is changed to No then you can receive and distribute items groups (cases). Using the same example, if you receive in a case of black beans you also be distributing a case of black beans which would pull from you Available Inventory Groups and not your Available Inventory Items
