Recording Missed CSFP Visits & Discontinuing Participants for Consecutive Missed Visits
How to accurately track missed visits & discontinue participants who miss consecutive visits.
1. How to bulk record Missed Visits
- Go to the CSFP Visit Dashboard
- Select the desired filters for Location Group (Food Bank), Location, Subsite
- Select the desired month
- Set 'Has Month Visit' to No
- Set 'Has Month Missed Visit' to No
- Any remaining records once these filters are applied should likely have a Missed Visit recorded for them. I would recommend reviewing the list before making any bulk edits.
- To mark Missed Visits for these records, you can use the 'Select All' button, or select records individually using the checkboxes on the left side. Then click 'Mark As Missed Visit'.
- You'll be prompted to select a date. If you know the date of the distribution that they missed, this should be the date set. Otherwise, choose a date in the month you're working on.
2. How to pull the Missed Visit dynamic report
- Go to Reporting > Dynamic Reports
- Select the Missed Visits Report (you can search Missed in the box and it will come up)
- Select the desired date range (1/1/25 - 5/29/25 would work fine for this)
- Use the filters at the top to select the desired group of participants you want to review (Food bank/Location/etc.). Most clients in this report are certified, so you may not need to apply that filter
- You can sort this report by clicking on the "Consecutive Missed Events Before End of Range".
- Export the report by clicking 'CSV' or 'PDF' depending on your preference.
- You can then use this for the next part to determine who should be Discontinued.
3. How to bulk Discontinue participants
- Go to CSFP Dashboard
- Filter for your Location Group (Food Bank), Location, Subsite
- Set 'Status' to 'Certified'
- Compare this list to the Missed Visits report you pulled in the last step and use the checkboxes on the left to select any clients who have had more than 3 consecutive Missed Visits
- Once selected, click 'Discontinue' and choose the "No Show" for three consecutive months
- If you've already sent out notifications to these participants (or they received them in person already), click 'Save and Notify'
- If you have not yet notified them, click 'Save and Exit'
4. Sending Out Notifications
- To see who you have pending notifications for, change the 'Status' filter to 'Pending Discontinued'
- This will generate the list of people that need to receive a notice
- You can export this list to a CSV, which will export the addresses with their names so that you can easily print them onto an Avery label template
- You can then use the checkboxes to select multiple participants once you've sent their notifications and click 'Complete Notifications'
