Your PantrySoft installation comes with a set of pre-configured dynamic reports that provide essential insights into client data, visits, inventory, and more. These reports are designed to be immediately usable, and can be tweaked as needed.
Use
Users should utilize Dynamic Reports when they need a comprehensive list of client records that displays one row per household, member, or visit—complete with client-specific information.
When Users need to explore non client-specific, aggregated data in various visual formats such as charts, graphs, and tables, they should access Data Visualizations screens.

Dynamic Reports in PantrySoft are formatted as a table.

Dynamic Reporting Tips
Pre-Filters:
On many Dynamic Reports, such as **Visits in Range and Visiting Clients, Users configure pre-filters in order to see a specific set of data:
Sort Order:
Dynamic Reports can be sorted by the data in any column by simply toggling the arrows next to that Column's header. For example:-

- Users can sort a dynamic report by date by toggling the arrows on the Date column.
- A User can also sort a dynamic report alphabetically by Name by toggling the arrows in the Name column:

Export:
Users can export or print Dynamic Reports by clicking the applicable option near the top of the screen.
The following is a list of the dynamic reports that come out-of-the-box with your PantrySoft installation:
Client and Member Reports
- All Client Records
Provides one row per household in the system. - Visits in Range
Displays one row per visit, with age counts. This report is filterable by city. - Visiting Clients
Lists one row per client (household) visiting within the specified range.
Member-Specific Reports
- All Member Records
Displays one row per household member visiting in the selected date range. - Visiting Members
Provides one row per unique member visiting within the selected date range. - Member Visits
Shows one row per instance of member visits within the selected date range.
Scheduling and Appointments
- Appointments in Range
Lists one row per appointment in the range. It includes columns for "Missed" and "Had Visit."
Inventory Reports
- Current Inventory with Rewind and Value/Weight
Displays the current inventory at a chosen date (12 AM), with one row per item. Includes rewindable data. - Item Distribution Counts
Shows one row per item, displaying the distribution counts for both households and members within the given range. - Visit Distributions by Item Type, Tallied
Provides one row per item type distributed within a specific date range, including total quantity, value, and weight. - Visit Distributions by Item, Tallied
Displays one row per item distributed to clients during the date range. - Receives by Source by Item, Tallied
Displays all inventory receives within a date range, grouped by source and item, with tally of quantity, value, and weight.
Intake and Diagnostic Reports
- Visiting Member Count by Current Age
This report counts the number of members attached to visiting client records, grouped by age. - Visit Count by Family Size
Counts all client visits within the specified date range, sorted by family size at the time of each visit. - Household Members with Suspicious Birthdates
Lists members with suspicious birthdates, such as null, blank, or ages greater than 100 years. - Non-Visiting Clients
Displays a list of clients who have not visited the pantry during the given date range.- Please contact support@pantrysoft.com if you’d like to use this report to update client statuses in bulk using this report. Read more about that here.

Displays all client notes within the system.
Customizing Dynamic Reports
The following changes can be made to your installation's Out-of-the-Box Dynamic Reports, but require PantrySoft Support intervention:
- Custom Questions
- PantrySoft allows you to add custom questions to dynamic reports. If needed, you can integrate registration, demographic, and interview questions into the reports to display household/client and member-specific answers.
- Mass Communication

- If you would like to do this but don’t see the functionality on a given Dynamic Report, please reach out to PantrySoft Support.
- Column Order, Headers, Totals and Filters
- Dynamic Report Columns can be ordered differently.
- Columns with numeric values can be totaled at the bottom.
- Column Headers can be changed to better reflect the data point or improve data interpretation for Users.
- Filters related to different data points can be added to Dynamic Reports.
